WeFit Labs Inc. — A Delaware Corporation

1. Introduction

WeFit Labs Inc. (“WeFit Labs,” “we,” “us,” or “our”) operates the PicklePals platform, including the website at pbpals.app, any related mobile applications, and all associated services (collectively, the “Platform”). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use the Platform.

By accessing or using the Platform, you agree to the collection and use of your information in accordance with this Privacy Policy. If you do not agree, please do not use the Platform.

We may update this Privacy Policy from time to time. When we do, we will revise the “Effective Date” above and notify you via email or through the Platform. We encourage you to review this Privacy Policy periodically.

2. Information We Collect

2.1 Information You Provide Directly

  • Community Manager Account Registration: When you create a Community Manager account, we collect your name, email address, password, community name, and optional community tagline.
  • Player Event Registration: When you register for an event as a Player, we collect your name, email address, and phone number. If you register a guest, we also collect the guest’s name.
  • Event Information: Community Managers provide event details including dates, times, locations, pricing, Venmo and Zelle handles, and cancellation policies.
  • Communications: When you contact us for support or feedback, we collect the content of your messages along with your name and email address.

2.2 Information Collected Automatically

When you access the Platform, we may automatically collect certain information, including:

  • Device information (device type, operating system, browser type)
  • Log data (IP address, access times, pages viewed, referring URL)
  • Usage data (features used, actions taken, session duration)
  • Cookies and similar tracking technologies (see Section 7)

2.3 Information We Do Not Collect

We want to be clear about what we do not collect:

  • Payment information: We do not collect, process, store, or have access to any credit card numbers, bank account details, Venmo accounts, Zelle accounts, or any other financial information. All payments occur directly between Players and Community Managers through third-party services.
  • Precise geolocation: We do not track your real-time location.
  • Health or biometric data: We do not collect any health, fitness, or biometric information.

3. How We Use Your Information

3.1 Providing and Operating the Platform

  • Facilitating event creation, registration, and waitlist management
  • Displaying event rosters and waitlist positions to relevant users
  • Enabling Community Managers to manage their events and communities
  • Processing account creation and authentication

3.2 Communications

  • Sending transactional notifications related to events (registration confirmations, waitlist updates, cancellation notices, payment reminders)
  • Responding to your support inquiries and feedback
  • Sending marketing and promotional communications (with your consent)

3.3 Improving the Platform

  • Analyzing usage patterns and trends to improve features and user experience
  • Diagnosing technical issues and maintaining platform security
  • Conducting research and analytics to develop new features

3.4 Legal and Safety

  • Complying with applicable laws, regulations, and legal processes
  • Enforcing our Terms of Service and protecting our rights and property
  • Protecting the safety and security of our users and the Platform

4. How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

4.1 With Community Managers and Players

When you register for an event, your name, email address, and phone number are shared with the Community Manager organizing that event so they can manage the session. Your first name and last initial are displayed on public event rosters visible to other Players.

4.2 With Service Providers

We may share your information with trusted third-party service providers who assist us in operating the Platform, such as hosting providers (e.g., Supabase), analytics services, and email delivery services. These providers are contractually obligated to use your information only to provide services to us and in accordance with this Privacy Policy.

4.3 For Legal Reasons

We may disclose your information if required to do so by law, in response to a subpoena, court order, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

4.4 Business Transfers

If WeFit Labs is involved in a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Platform of any such change in ownership or use of your personal information.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Platform. Specifically:

  • Community Manager data: Retained for the life of the account. You may request deletion by contacting us.
  • Player registration data: Retained for the duration of the event and for up to 12 months thereafter for record-keeping and dispute resolution purposes.
  • Usage and analytics data: Retained in aggregated or de-identified form for up to 24 months.

After the retention period, we will delete or anonymize your personal information unless a longer retention period is required by law.

6. Data Security

We take reasonable technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit using TLS/SSL
  • Row Level Security (RLS) on our database to ensure data isolation between communities
  • Secure authentication through our infrastructure provider (Supabase Auth)
  • Regular review of our data collection, storage, and processing practices

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee its absolute security.

7. Cookies and Tracking Technologies

We use cookies and similar technologies to operate and improve the Platform. These may include:

  • Essential cookies: Required for Platform functionality, such as maintaining your session and authentication state. These cannot be disabled.
  • Analytics cookies: Help us understand how users interact with the Platform so we can improve it. You may opt out of analytics cookies through your browser settings.

We do not use advertising or third-party tracking cookies. We do not participate in cross-site tracking or targeted advertising.

8. Your Rights and Choices

8.1 Access and Correction

You may access and update your account information at any time by logging into your Community Manager account. Players may request access to or correction of their registration data by contacting us at ethan@wefitlabs.com.

8.2 Deletion

You may request deletion of your personal information by contacting us at ethan@wefitlabs.com. We will process your request within 30 days, subject to any legal obligations requiring us to retain certain data. Please note that deletion of your account may result in the loss of your event history and community data.

8.3 Communication Preferences

You may opt out of marketing communications at any time by following the unsubscribe link in any marketing email or by contacting us. You cannot opt out of transactional communications while you maintain an active account or active event registrations, as these are necessary for the operation of the Platform.

8.4 Do Not Track

Some browsers include a “Do Not Track” (DNT) feature. The Platform does not currently respond to DNT signals, as there is no industry-wide standard for DNT compliance.

9. Children’s Privacy

The Platform is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Community Manager accounts require users to be at least 18 years old. Players under 18 may register for events only with the consent of a parent or legal guardian.

If we learn that we have collected personal information from a child under 13 without parental consent, we will take steps to delete that information promptly. If you believe we have collected information from a child under 13, please contact us at ethan@wefitlabs.com.

10. State-Specific Privacy Rights

10.1 California Residents (CCPA/CPRA)

If you are a California resident, you have the right to:

  • Know what personal information we collect, use, and disclose about you
  • Request deletion of your personal information
  • Opt out of the sale of your personal information (we do not sell personal information)
  • Non-discrimination for exercising your privacy rights

10.2 Other State Privacy Laws

Residents of Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws may have similar rights under their respective laws, including the right to access, correct, delete, and port their personal data, and to opt out of certain data processing activities. 11. Third-Party Services

The Platform may contain links to or integrations with third-party services, including Venmo, Zelle, and other payment platforms. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party services you use in connection with the Platform.

Our current third-party service providers include:

  • Supabase: Database hosting, authentication, and real-time services
  • Venmo / Zelle: Peer-to-peer payment services (used directly between users; we have no access to payment data)

12. International Users

The Platform is operated from the United States. If you access the Platform from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those of your country. By using the Platform, you consent to such transfers.

13. Community Manager Data Responsibilities

Community Managers receive access to Player personal information (names, email addresses, and phone numbers) for the purpose of managing their events. Community Managers agree to:

  • Use Player data solely for purposes related to organizing and managing events through the Platform
  • Not sell, rent, or share Player data with any third party for marketing or any unrelated purpose
  • Handle Player data in compliance with all applicable privacy laws
  • Delete or return Player data upon request from the Player or upon termination of their Community Manager account

WeFit Labs is not responsible for the data handling practices of individual Community Managers outside the Platform.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will notify you by email (using the address associated with your account) or by posting a prominent notice on the Platform prior to the changes taking effect.

Your continued use of the Platform after the updated Privacy Policy becomes effective constitutes your acceptance of the changes.
